What Is an AI Answering Service, and How Does It Work?

What is an AI answering service? An AI receptionist that answers your business calls, books jobs, puts urgent callers through and sends you a summary.

TL;DR

  • An AI answering service (or AI receptionist) answers your business calls using your business details, then books the job, takes a message or puts the caller through. You get a summary of every call.
  • How well it works depends on the setup: what it knows, and what it does for each kind of call.
  • It can back you up rather than replace you: some services ring you themselves, while others take calls your carrier forwards when you don't answer.
  • Juney does this from an app on your phone for $49 a month with 150 minutes included (as of October 2026). You keep your number.

The phone rings at the worst moments in a trade business: up a ladder, under a sink, driving between jobs. This guide explains what an AI answering service actually does on those calls, what it can't do, and how to tell whether one will work for you.

What is an AI answering service (AI receptionist)?

An AI answering service, or AI receptionist, is software that answers your business phone in a natural-sounding voice. It uses the details you give it (your services, prices, hours and answers to common questions) to handle the caller, then sends you a note of what happened. The two names mean the same thing.

It sits between voicemail and a human receptionist. Unlike voicemail, the caller talks to something that can answer a question, book a time or pass on an urgent job. Unlike a human answering service, there's no person on the line, it usually costs much less, and it picks up at 2 AM as readily as at 2 PM.

It works through call forwarding. You forward your business number to the service, so customers keep ringing the number on your van and your website. Juney, for example, is an AI answering service built for the trades, set up and run from your phone.

The forwarding steps for each phone are in How to Forward Calls on iPhone for Your Business (Keep Your Number) and How to Forward Calls on Android and Samsung for Your Business.

What happens when an AI answering service picks up a call?

It greets the caller in your business name, works out why they're calling, does what you set up for that kind of call, and ends the call. Then it sends you a summary. Here is a typical call, step by step:

  1. The call is forwarded. A customer rings your usual number and your carrier passes the call to the answering service.
  2. The greeting. The caller hears your business name, ideally with a line saying they're talking to an AI assistant.
  3. The conversation. It answers questions from the details you gave it. If the call matches something you set up (a new job, an emergency, a booking change), it follows your instructions: ask questions, tell the caller something word for word, book a time, text a booking link, put the call through or take a message.
  4. The fallback. Anything it can't handle becomes a message with the caller's number and what they need.
  5. The notes. After the goodbye, you get a summary and transcript, and a recording if you've turned recording on.

Juney sends those call notes as an app notification (and by email, if you turn that on), and every call is also kept in the app. You can see how Juney handles a call, step by step on the homepage.

What to do: before you trust any answering service with customers, call it yourself as if you were one. Ask what your customers ask and listen to what it says.

Does it take over your phone, or can you still pick up?

Some services ring you in their app, while others let you use carrier no-answer forwarding. With Juney, forward all calls and use the app's Ring me first setting for about 15 seconds to answer, or choose Straight to Juney. If you're signed out, Juney answers straight away; the help center explains ringing your phone before Juney answers.

How the ring-first setup works day to day, and its trade-offs, is in Can I Still Answer My Own Calls With an AI Answering Service?.

How does it handle bookings?

If it's connected to your calendar, it checks when you're free and books the job while the caller is still on the line. Calendar support varies a lot between services, so check which ones each connects to.

Juney books into Google Calendar, for the booking length you set and inside your business hours, and can move or cancel the bookings she made. If you use another calendar, she can text the caller your booking link or take a message instead.

For booking lengths, hours and what to set up first, read Can an AI Answering Service Book Appointments in My Calendar?.

What does it say when a caller asks about price?

A well set up AI answering service quotes the prices you've listed and nothing else, and tells the caller you'll confirm anything that isn't on the list. A made-up price is a setup problem.

Juney quotes the prices you list under Services & pricing; leave one blank and she says you'll confirm it. She doesn't give pricing, repair or safety advice of her own: anything callers should hear, you write.

Price questions and pushback on a service call are covered in Can an AI Answering Service Answer Price Questions and Objections?.

What happens with an urgent call?

Most AI answering services can recognize an urgent call from the words you choose, such as "burst pipe" or "no power", and put the caller through to a number you pick (some only on higher-priced plans). Juney rings a number other than the one you forward to her, such as a second mobile or whoever's on call, tells whoever answers who's calling and why, and puts the caller through if they take it. If they don't, she takes a message. If you work alone, choose Ring me first in Juney to get a chance to answer before she does.

Will it know a caller who has rung before?

Some services remember callers and pick up where the last call left off. In Juney this is the Caller memory switch: on, she picks up from the caller's last call with her; off, every caller is treated as new. She isn't connected to a customer database or CRM.

How is it different from a virtual receptionist or a traditional answering service?

"AI answering service" and "AI receptionist" are two names for the same thing: software that answers your calls. A "virtual receptionist" usually means a real person working remotely for several businesses, and a traditional "answering service" is usually a team of operators who mostly take messages. The lines blur, so when you compare, ask who actually answers, what they can do on the call, and how you're charged.

Do you tell callers it's AI?

Yes, in the greeting. Callers then know who they're speaking with from the start and can choose to leave a message or ask for a person. You control what Juney says first, and we recommend introducing her as your AI assistant: "Hi, you've reached Smith Plumbing, this is Juney, the AI assistant. How can I help?"

Where do you set it up and manage it?

Most of the AI answering services we checked in October 2026 are set up in a web dashboard on a computer; Rosie adds a phone app to its dashboard, and Beside is run mainly from its app. That matters if you work from the van, because a setup you have to sit down at a computer for often doesn't get done. Juney is built for the phone, not a desktop dashboard: signup, setup, call forwarding, settings and every call happen in the app on your iPhone or Android. Set up and run from your phone. No computer, no dashboard.

What a good setup covers, step by step, is in How to Set Up an AI Answering Service Properly, Even From Your Phone.

Will an AI answering service get things wrong?

Sometimes, and when it does, the cause is usually the setup rather than the voice technology. An AI answering service works from what it was given, and rushed or do-it-yourself setups are how AI ends up giving wrong answers or promising things the business can't deliver.

A well-known example isn't a phone line. On February 14, 2024, British Columbia's Civil Resolution Tribunal ruled in Moffatt v. Air Canada that Air Canada had to compensate a customer after the chatbot on its website suggested they could apply for a bereavement fare retroactively, which the airline didn't allow. The tribunal said the airline was responsible for all the information on its website, chatbot included, and ordered it to pay $650.88 in damages plus interest and fees (Canadian dollars). The lesson for a small business: whatever your answering service says on your behalf, you own it, so what it's allowed to say, and whether anyone tested it, matters.

A good setup teaches it your business, checks every price and answer, decides what happens for each kind of call, and tests it on a call before customers reach it. Then you read the call notes and fix what it got wrong. In Juney those steps are guided on your phone and take a few minutes, so getting it right doesn't need a specialist. Juney is built by Trillet, the voice AI platform trusted by over 4,000 businesses.

The usual failures, and how to check for each, are in Why Do AI Receptionists Fail? What Goes Wrong and How to Check Yours.

AI answering service, human answering service or voicemail: which fits you?

Pick by what you need the caller to get. Voicemail is free but only records a message. A human answering service gives callers a real person but charges by the minute at a much higher rate. An AI answering service answers live, books and passes on urgent calls for a monthly fee.

Be honest about the trade-offs. A good human receptionist still handles a confused or upset caller better than software, and if you get a handful of calls a week and always ring straight back, voicemail may be enough.

If you're weighing up AI, Juney costs $49 a month or $490 a year, with 150 minutes a month (about 75 calls, depending on call length), then top-ups of 100 minutes for $20, bought in the app, which don't expire. You start with a 7-day free trial with 50 answering minutes (as of October 2026). See Juney's pricing for the details.

Frequently Asked Questions

Do I have to change my number?

No. You forward your business number to the answering service, so customers keep ringing the number they already have. With Juney you keep your number and your phone provider; nothing is moved.

Is there a free AI answering service?

A few AI services have a free tier with a small allowance, but most offer a free trial instead. Juney has a 7-day free trial with 50 answering minutes. When the trial ends, it stops unless you've turned on automatic billing; the plan is then $49 a month (as of October 2026). It's a free trial, not a free plan.

What about text messages and emails?

Juney is for calls. She sends texts out to callers, such as a booking link during a call or a follow-up afterwards, but texts and emails that customers send you stay with you.

What happens if it doesn't know the answer?

A well set up AI answering service takes a message instead of guessing. Juney takes the caller's number and what they need, and flags the call in the app so you can follow up.

Which countries does Juney work in, and in what language?

Juney works with business numbers in the United States, the United Kingdom, Australia and Canada. She speaks English, with a choice of American, British or Australian accent voices.
